The Motherhood Center is a New York City based mental health clinic specialized in treating new and expecting mothers with perinatal mood and anxiety disorders.

Job Summary:
The Evening Administrative Assistant will provide high quality customer service to outpatient clients and attendees of classes and support groups. The Evening Administrative Assistant will also be responsible for administrative tasks and additional duties as assigned.

Schedule:

This position is Monday – Thursday from 4:30 PM – 8:00 PM with occasionally later hours and some weekends.

Job Responsibilities:

  • Greeting clients as they arrive and directing them to the appropriate evening activity

  • Assisting class and workshop leaders with any needs they may have to get set up

  • Notifying outpatient therapists when their clients arrive

  • Prepare all groups and private spaces for classes and workshops as well as next day activities, including cleaning, turning off lights and sound machines and setting up the coffee machine

  • Restocking inventory

  • Access Electronic Medical Records (e.g. ZenCharts)

  • Check-in and check-out patients in Kareo

  • Scheduling clients for appointments

  • Administrative tasks (encounter forms, shred, scan, make copies, refill folders/forms)

  • Collection of pay from patients

  • Managing evening classes / attendance and payments

  • Transitioning with day staff

  • Special projects assigned as needed

Qualifications:

  • Associates Degree; current Bachelor’s student preferred;

  • Strong computer skills, including Microsoft Office;

  • Strong organizational skills, must be detail oriented;

  • Strong oral and written communication as well as presentation skills;

  • Ability to be flexible;

  • Teamwork;

  • Ability to multi-task.
