Role and Responsibilities:
The Accounting Manager will report to and receive requirements/training from the Director of Strategy and Operations and CEO for different sets of responsibilities. This is a highly detailed and structured full charge bookkeeper position with additional administrative duties. As the accounting specialist and in this cross-team role, you will be responsible for bookkeeping, journal entries, bill pay, invoicing, collection, AR/AP, review and audit of reimbursement requests, work with controller/Finance Director to close each month, setting up wires to certain vendors, payroll and PTO tracking, employees’ first line of HR questions, maintenance and updating of the employee handbook, assisting with board deck preparation and marketing analysis (training and templates will be provided), and administrative support to the CEO.
Responsibilities:

At least 2 years of experience with QB
-
Perform the following tasks in QB: enter bills and invoices, make journal entries, book month-end entries such as expense accruals, prepaid and other entries; create AP and AR reports; import data from 3rd party software programs; pay vendors, enter customer payments, make deposits, reconcile accounts and run financial statements

Perform month-end closing tasks, process and audit expense reports; process and maintain 1099 statements; track and create invoices, process customers’ payments and perform collection duties as needed; communicate with vendors to resolve issues in a timely manner; review mail and email daily and deposit checks as they are received;

Receive requirements from management team to streamline processes and maintain accurate expense code and categories

Perform all tasks related to timely payroll, including tracking and entering PTOs and expense reimbursement into Paychex

Reconcile discrepancies, find and correct errors, and inform management team of your errors in a timely manner;

Maintain and update information on client acquisition

Have knowledge +/- experience with accrual accounting, reconciling account types, assets, liabilities and balance sheet accounts

Use additional apps such as Expensify, Bill.com, bank apps, Microsoft Sharepoint as needed

Assist management team to create slides and visuals for monthly and quarterly financial reports for the board and shareholders

Comply with federal, state, and company policies, procedures, and regulations consistently and completely

Provide financial summaries to CFO monthly closing and to tax accountant annually

Provide administrative assistance and support to CEO, including managing expense report, scheduling meetings, and travel itinerary
Requirements:

Graduate of a bachelor’s degree in Accounting (Preferred) or equivalent experience

Proficient and have at least 2 years experience in QuickBooks

Experience or general understanding of accrual accounting

Proficient in MS Office – Outlook, Word, Powerpoint and very proficient use of Excel to create spreadsheets and financial reports

Experience with payroll platforms (1 year+)

Able to learn new tools very quickly (e.g. Expensify, Bill.com, bank apps)
