Description
We’re looking for an ambitious, reliable, and task oriented Office Manager that will be responsible for providing administrative support for the leadership team, fostering a productive and comfortable work environment, building team culture, and establishing operational processes. From greeting guests to managing administrative systems, you’ll be the glue that keeps the office afloat.
In this role, you will work closely with our leadership team and the rest of the organization by providing administrative support as we scale our organization. You will report directly to our Head of People.
As the Office Manager, you will be responsible for:
- Fulfill additional office duties, including setting up events, up-keeping company culture and assisting other departments as needed
- Coordinate with hiring managers and HR to deliver an excellent employee on-boarding and off-boarding experience to SF employees
- Own local employee data management and compliance tasks such as employee personnel files and EDD correspondence
- Serve as a local point of contact for basic handbook, policy, benefits, and HRIS inquiries
- Collaborate with the HR team to facilitate programs such as performance reviews and trainings
- Communicate with caterers as well as coordinate, set-up and clean-up lunch daily for the team
- Communicate regularly with the security team to ensure a secure workspace at all times
- Work on ongoing people process and space improvement projects as needed
- Manage and optimize multiple executive calendars
- Plan and book complex travel itineraries
- Help organize and plan for internal events like team off-sites
- Assist in ordering office supplies and making sure the site is well stocked
- Coordinate executive communications, including taking meeting minutes and responding to emails
- Assist in creating and managing agendas for departmental staff meetings
- General administrative duties and special projects as needed
Requirements
- Minimum of 5+ years of experience as an Office Manager
- Bachelor’s degree
- Strong organizational, project management and problem-solving skills
- Ability to organize, multi-task, prioritize and work under pressure
- Strong communication skills both written and verbal
- Ability to be resourceful and proactive in dealing with issues that may arise
- Ability to keep sensitive information confidential
- Familiarity with a startup office environment and strong understanding of how business works
